Search Filters in Salesforce CPQ – Part 1 – Default Search Filters

This series will help you understand the Search Filters in Salesforce CPQ, different use cases around Search Filters and how we can set them up.

Salesforce CPQ Search Filters enable sales reps to filter the products available for selection based on certain attributes. For instance, you could search for all the Products where Product Name contains “Laptop” keyword.

For any Organization, a list of its product and service offerings along with their pricing contribute to the Product Catalog. If a Company offers a large number of items, its Product Catalog can become very lengthy and extensive. As a result, it becomes difficult for the Sales Reps to find the right products easily. Reps end up spending a lot of time scanning through all the items and looking for the products that their customers are interested in. In this situation, Product Filters really come in handy.

Product Filters are known as Search Filters in Salesforce CPQ.

Search Filter, a powerful filtering tool, is super-helpful to the Sales Reps that guide them deeper into the product catalog and help them narrow down the product search. Essentially, your product catalog becomes RESPONSIVE driving more sales.

By default, CPQ allows you to search for a product based on below product fields.

  • Product Code
  • Product Name
  • Product Family
  • Product Description

Use Case

Jack Martin works as a CPQ Administrator at Universal Containers (UC). Sales Reps at UC wants the ability to filter the product catalog based on certain product attributes such as Product Code, Product Name, Product Family or Product Description.

How to Setup Default Search Filters?

Salesforce CPQ allows you to search by Product Code, Product Name, Product Family, and Product Description by default. There is no need for any kind of setup for this.

These default search filters are applied through the Search Filters Field Set on product object. To change the configuration, you can add or remove product fields to this field set.

How it Works?

  1. Create a new Quote/ navigate to an existing quote and click Edit Lines

  2. Click Add Products button in the quote line editor. You will be redirected to the Product Selection Page.

  3. Now select the filter icon as shown below. Value 10 indicates the total number of filtered products available for selection.

  4. A Product Filter section will be displayed with the options to search by Product Code, Product Name, Product Family and Product Description.

  5. Select Software as the Product family and click Apply. Search filter gets applied, and filtered products are displayed. Sales Rep is now presented with only 2 products.

Open Product Filter Box By Default

If your sales reps frequently search your product catalog, you can display the Product Filter Box as soon as sales reps open the product selection page.

  • Navigate to Setup | Build | Installed Packages | Salesforce CPQ | Configure | Additional Settings and set Open Search Filter By Default to TRUE.

  • As soon as you click Add Products button on the configurator, you are displayed with the available products and the Product Filter Box.

Points To Note

  • If you can’t see any of the fields mentioned above in filter on Quote line editor, check Search Filters field set on Product object to see if those fields are added or not.
  • You can add/remove standard or custom fields to any search filter by editing this field set.
  • Check for the Field FLS permissions if you don’t see the field in the Product Filter box even after adding it to the field set.
